Year in Review Contest – Traditional Scrapbook

A Key Club may enter a scrapbook containing pictures, souvenirs, examples, newspaper clippings, etc., of its activities during the club administrative year (defined as being from district convention to district convention).

Note: This contest is due in the district contest room before the general session on Friday evening. There will be a first, second, third, and honorable mention winners in the Pennsylvania District. The first and second place contest winners from the district will be eligible to compete in the International contest, if the entry meets the criteria.

Traditional Scrapbook

  1. A Key Club may enter a scrapbook containing pictures, souvenirs, examples, newspaper clippings, etc., of its activities during the club administrative year (defined as being from district convention to district convention). Each scrapbook must be divided into these categories: service to school, service to community, fundraising projects, assistance to Kiwanis projects, Major Emphasis Program involvement and miscellaneous. Each category must be tabbed accordingly. The pages also must be numbered with a table of contents included at the beginning. Judges will deduct five points for missing tabs and five points for a missing table of contents. Only the first- and second-place district winners in each category will be eligible to compete in the International contest. Clubs existing within a non-districted area shall submit their entries to Key Club International.
  2. Entries are required to be submitted in a scrapbook binder measuring no larger than 14 inches wide and 14 inches high. The cover may be decorated.
  3. Contest judging of the scrapbooks will be on a point system as follows:

    2. GENERAL CONTENT–60 Points

      5. Involvement with Major Emphasis Program... 10 Points
      6. Miscellaneous....................................................... 10 Points
  4. A sheet of paper must be affixed to the inside front cover of the scrapbook containing the following: Key Club name, city, state/province, district and an itemized statement of the total expenditures and donations. If this sheet of paper is not affixed to the inside front cover of the scrapbook, the judges will deduct ten points. This statement must be signed by the Key Club president and faculty advisor, stating the scrapbook’s retail cost value (including photographic materials) does not exceed the amount of US$200. Work done by Key Club members such as hand-lettering, artwork, etc., need not be included as cost items. Failure to comply with this rule will result in disqualification.
  5. Scrapbooks being judged at the international convention MUST be the exact same scrapbook judged at the district convention. Any alterations in the scrapbook will result in disqualification.
  6. Entries shall be submitted to the Key Club convention contest office during specified hours as listed in the convention program.
  7. Suitable prizes will be awarded for scrapbooks judged best on the basis of format and general content.
  8. Decisions of the judges are final and no changes, alterations, or regradings will take place after the results have been certified by the judges, the chair of the contest, and the board counselor of this contest.
  9. No audio, visual, or computer equipment will be allowed as part of the entry.

Over the years, the Pennsylvania District has seen many clubs and individuals enter the contests and unfortunately has seen a number of clubs and individuals be disqualified because of various award criteria. The following entry tips/eligibility checklist is to be used to help highlight some of the important contest criteria that has changed or is sometimes overlooked. It is to be used to assist you in your completion of the awards, but does not substitute for the official criteria set in the Key Club International Guidebook.

Cost Criteria Entry Tips/Eligibility Checklist

  • The entry form does not need to be typed, but must be affixed to the inside front cover or ten points will be deducted.
  • It must include the Key Club name, city, state, club ID # and district, PENNSYLVANIA.
  • The entry form cost totals will be verified and must be mathematically accurate. The total value may not exceed $200.00.
  • Note: To determine photo costs, add the cost of the film purchased to the developing cost. Divide by the number of photos processed to get a cost per photo. Then, multiply that cost by the number of photos used in the scrapbook.

General Content Entry Tips/Eligibility Checklist

  • Table of Contents must list subdivided categories per the criteria. It is strongly suggested that page numbers be listed on it and pages in the book are numbered.
  • The scrapbook must be subdivided into six categories, see section “A” in the current “Key Club International Guidebook”. Each category needs to be tabbed. Check that tabs do not make the book larger then 14 inches.
  • Add activity examples like newspaper clippings, pictures, and souvenirs from the start of the 2011 Pennsylvania District Key Club Convention from March 4, 2011 to March 16, 2012. Check your dated materials included.
  • Decorate the cover. Have a theme. Include a miscellaneous section. Show Key Club interaction with children and Kiwanis. Be careful that themes are not subject to copyright infringements.

** Top Reasons Traditional Scrapbooks do not qualify at District Convention. **

  • Scrapbooks are not to the correct size specification.
  • Table of Contents not included.
  • No tabbed categories or not all six categories are shown.
  • Tabs extend past the 14 inches allowed.
  • The district name not filled in or is not correct.
  • “Assistance to Kiwanis” is not shown in the scrapbook.
  • Inaccuracy of cost totals.
